Office Operations & Executive Assistant
Position Summary
The Office Operations & Executive Assistant supports the daily administrative and operational needs of Gaston Community Foundation. This role serves as the primary point of contact for visitors and incoming communications while also providing administrative support to the President and assisting with coordination of the Foundation’s building and tenant relationships.
This position focuses on internal operations, office management, and building coordination to ensure the Foundation’s staff, visitors, and tenants experience a professional and welcoming environment.
This is a full-time, on-site position based in Gastonia, North Carolina. Occasional evenings or community events may be required.
Key Responsibilities
Front Office & Reception
- Serve as the primary point of contact for visitors, donors, nonprofit partners, and community members.
- Answer and direct incoming phone calls and manage the Foundation’s general email inquiries.
- Receive and distribute incoming mail, packages, and deliveries.
- Maintain a welcoming and organized reception area and shared office spaces.
- Manage conference room scheduling and meeting room setup.
- Provide technology administration in conference rooms and assist staff with tech needs during meetings and presentations.
Executive Support
- Provide administrative support to the President, including calendar coordination, meeting logistics, and record keeping.
- Assist with scheduling internal and external meetings.
- Prepare materials and logistics for meetings, presentations, and board-related needs as requested.
- Take and distribute meeting minutes as needed.
- Coordinate travel arrangements and other logistical support for the President.
Office Operations
- Manage office supply inventory and vendor relationships.
- Assist staff with administrative needs and general office coordination.
- Maintain organized office systems and administrative records.
- Support preparation for internal meetings and occasional Foundation events.
- Assist with all other office-related tasks as they arise.
Building & Tenant Coordination
- Assist with oversight of the Foundation’s building operations.
- Serve as the primary contact for building tenants, including three suite tenants and nine key-person offices.
- Coordinate maintenance requests, service vendors, and building-related needs.
- Help manage keys, shared spaces, and office access.
- Monitor the condition of common areas to ensure a clean, safe, and professional environment.
Qualifications & Attributes
- 3–5 years of administrative, office management, or executive assistant experience preferred.
- Strong organizational and time-management skills.
- Excellent interpersonal and customer-service skills.
- Ability to manage multiple priorities in a small team environment.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Commitment to the Foundation’s goals, values, and mission.
- Self-motivated and proactive, with the ability to work independently and as part of a team.
- Demonstrated ability to thrive in a fast-paced environment and adapt to changing priorities.
- Excellent judgment, attention to detail, and a solutions-oriented mindset.
Compensation & Benefits
The salary range for this position is $45,000 - $50,000. Gaston Community Foundation offers a competitive benefits package that may include health insurance, retirement contributions, paid time off, and professional development opportunities.
